Reminders for June Ceremony

  • Graduands should come to St John of God Hall in Henry Street at 2.45 for briefing and gowning up.
  • Do not bring any personal items with you as they cannot be left in the Hall and cannot be carried in the procession.
  • You will receive an empty Formal Graduation Cylinder during the ceremony.
  • You can collect your testamur after the ceremony in the Performing Arts Room off Malloy Courtyard.
  • You must have photo identification (eg University ID card, drivers licence, passport) to collect your testamur.

How to find out if you can Graduate

At 12 noon on Wednesday 15th June go to the Student Academic Information Page. Input your ID number and password. Your graduation status will be displayed, ie approved or denied to graduate.

Obtain your Exam Results Early

Graduands can obtain their results before the Graduation Ceremony. Go to the Student Academic Information Page at 12 noon on Wednesday 15th June. Input your ID number and password. Click on [Results] and ensure you have chosen 05S1 as the Semester. Your results will be displayed.

The University holds a Graduation Ceremony at the end of each semester. Students can graduate at the end of their final semester of study assuming all units are completed and there are no outstanding fees or library fines. The Graduation Mass for Semester 1 will be held on Sunday 19 June at 11am in the Drill Hall and the Graduation Ceremony will be held at 3.30pm (see 2005 University Calendar). The December Graduation Mass will be held in the evening of Saturday 17 th December 2005 and the December Graduation Ceremonies will be held either in the morning or afternoon of Sunday 18 th December 2005 (depending on the College).

Structure of Graduation Ceremonies

Due to the increasing number of graduands, the University will hold at least 2 graduation ceremonies and possibly more at the December graduation ceremony. These may extend over the Saturday and Sunday with the Graduation Mass occurring on the Saturday evening.

You will be informed of the time and day of the Graduation Ceremony for your College in November.

How to Apply to Graduate

If you are nearing the completion of your course and are intending to graduate, YOU MUST APPLY TO GRADUATE – THIS IS NOT AN AUTOMATIC PROCESS.

The final date to apply to graduate for the June Graduation Ceremony is Friday 13 May 2005.

The final date to apply to graduate for the December Graduation Ceremony is Friday 4 November 2005.

Deadline for reciept of outstanding fees & fines for the December Graduation is the 18th November 2005.

Applications after these dates will not be accepted unless there are serious extenuating circumstances.

At the start of the year, you may have advised your intention to graduate on the blue Unit Enrolment form. If you have forgotten to apply to graduate or wish to graduate at a different time than noted on your blue Unit Enrolment form, you can still apply or amend your Graduation date by completing the ‘Change of Graduation Status' section on the pink Amend Student Record form.

Download and complete the Amend Student Record Form. This form is also available from Student Administration in ND1/107. Please ensure that you have signed the form and submit your application to Student Administration.

Upon Receipt of your Application to Graduate

Upon receipt of your Application to Graduate, a Graduation Check is sent to your College. Your Head of School will assess whether you have fulfilled the requirements of your course or will fulfil the requirements of your course pending successful completion of your current semester's units. Graduation Checks for each applicant are distributed to College's around Week 5 of each semester.

Graduation Pack

If you are eligible to graduate you will be sent a Graduation Pack, which includes the following documents:

  • Covering Letter stating your graduation status as either approved, approved pending (units to be completed), or denied and your degree.
  • Circular providing details of the Graduation Mass and the Graduation Ceremony, hiring of the regalia gown, the framers and the photographer.
  • RSVP Form to be completed and returned to Student Administration indicating your attendance/absence at the Graduation Mass and Graduation Ceremony, how your name is to be printed on your testamur, the number of guests attending, request for additional tickets to the ceremony and a testamur postage address if required. Please note additional tickets will only be available depending on the number of graduands attending the ceremony. Additional tickets may have to be provided for seating in the courtyard outside Drill Hall which has restricted viewing.
  • Photographer Flyer providing information on the photographic services available at the Graduation Ceremony.
  • Framer Flyer providing information on the framing services available at the Graduation Ceremony.
  • Regalia Craft Order Form to be completed and returned to Regalia Craft to order academic regalia for the Graduation Mass and Graduation Ceremony.
  • Alumni Flyer providing information on the University's Alumni Organisation for past graduates.

Notification of Approval to Graduate

You will be notified of the outcome of your application to graduate in writing. You will be advised whether you have been approved, approved pending successful completion of your current semester's units or denied to graduate.

You will be informed of whether you have been approved to graduate at 12noon on Wednesday 15th June for the June Graduation Ceremony or at 12noon on Wednesday 14th December for the December Graduation Ceremony. Your graduation status will be displayed on your Student Academic Information screen. Please click on this link and input your ID number and password to access your individual page.

Graduating at a different campus

Students do not have to graduate from their home campus but may attend a Graduation Ceremony at another campus if that is more suitable. To apply to graduate at another campus, students need to complete an Amendment to Student Record Form. Please complete the Graduation section stating your preferred graduation campus and submit this form to the Student Administration office of your Home Campus. Student Administration at your Home Campus will forward the appropriate forms and details to the Graduation Officer of your chosen graduation campus. The Graduation Officer of your chosen graduation campus will contact you directly with information concerning your graduation ceremony.

The Sydney Campus will not be holding a Graduation Ceremony until required for students commencing in 2006.

Graduation Tickets

If you are approved to graduate and have reserved guest tickets to the Graduation Ceremony, these can be collected from the Student Administration Office ND1/107 from 12noon until 4.30pm on Wednesday 15th June or 14 th December, 2005, depending on which ceremony you will be attending. You may also collect tickets on the following Thursday and Friday between 8.30am and 4.30pm. If you are unable to collect your tickets during these times please contact the Graduation Officer on 9433 0526 immediately. Please note that we do not post tickets to students who were approved pending completion of units, as we cannot guarantee that the tickets will arrive prior to the Graduation Ceremony.

Testamur

Students who are receiving two or more degrees/certificates will have all testamurs presented together at your Graduation Ceremony. Both awards will be listed in the Graduation Booklet. If you are absent from your Graduation Ceremony, testamurs can be collected from Student Administration from the Monday after the Graduation Ceremony. Testamurs will be posted to those graduands who have requested it on their RSVP form after the Graduation Ceremony. Testamurs which have not been collected within two weeks after the Graduation Ceremony, will be posted to the students at the address on the University database.

Replacement Testamur
Replacement testamurs must be ordered using a Request for Replacement Testamur form which includes a Statutory Declaration to be signed before a Justice of the Peace or Commissioner for Declarations stating the reason for the replacement testamur. These forms can be downloaded from the University web page (click on this link). The application must include a cheque or money order for the total cost of the replacement testamur or you can contact the Fees Office on 9433 0536 to pay by credit card. The cost is $50 plus postage and handling (cost of postage and handling depends on the postal address). The fee for the replacement testamur must be paid prior to processing your request.

If there is an error on the Testamur which should have been noted by you, for example a mis-spelt name which was shown as such on the letters sent to you, and you would like a new Testamur printed the cost will be $50 plus postage and handling. A request in writing and a statutory declaration is not necessary in this case, however you are required to return the unwanted testamur.

Transcripts

Following graduation, a final Statement of Academic Record (transcript) is issued to each graduand free-of-charge. Transcripts will be posted to you at the address shown on the University database or as stated on the RSVP form upon final release of all Semester results after the Boards of Examiners.
