Structure of Graduation Ceremonies – Fremantle Campus
The University holds Graduation Ceremonies at the end of each semester. Students must apply to graduate whilst completing their final semester but before the published apply to graduate date.  Students can graduate at the end of their final semester of study assuming all units are completed and there are no outstanding fees or library fines.

Reminders for December Ceremony

IMPORTANT
Please be aware due to the ISAF Sailing World Championships in December 2011 being held in Perth, Notre Dame Fremantle Campus will host the December Graduation Mass and Ceremonies off site this year.
The University is celebrating graduation as follows:

  • Mass will be celebrated at St Mary’s Cathedral, Victoria Square, Perth on Tuesday evening, 13th December 2011 at 6.00pm.
  • Graduation Ceremonies will be held at St Mary’s Cathedral, Victoria Square, Perth as follows:

  • Graduation Ceremonies – Thursday 15 December 2011
    • School of Nursing & Midwifery                                      Time:   3:00pm
    • Schools of Education and Philosophy & Theology          Time:   6:30pm
  • Graduation Ceremonies – Friday 16 December 2011
    • Schools of Law and Medicine                                        Time:   3:00pm
    • Schools of Health Sciences and Physiotherapy              Time:   6:30pm
  • Graduation Ceremonies – Saturday 17 December 2011
    • Schools of Arts & Sciences and Business                      Time:  10:30am
  • Graduands should go to the Gym at Mercedes College (map will be provided with Graduation Pack) one hour prior to the commencement of the Graduation Ceremony for briefing and gowning up.
  • FINAL CALL for graduating students will be 45 MINUTES PRIOR to the commencement of the ceremony. Doors to the Mercedes College Gym will be closed after this time. NO STUDENT WILL BE PERMITTED TO JOIN THE CEREMONY AFTER THE FINAL CALLNO EXCEPTIONS WILL BE MADE as late students will miss vital information regarding the graduation ceremony.
  • Do not bring any personal items with you as they cannot be left in the Mercedes College Gym and cannot be carried in the procession.
  • You will receive an empty Formal Graduation Cylinder during the ceremony.
  • You can collect your testamur after the ceremony at the designated collection point.
  • You must have photo identification (e.g. University ID card, drivers licence, passport) to collect your testamur.

How to Apply to Graduate
If you are nearing the completion of your course and are intending to graduate,
YOU MUST APPLY TO GRADUATE – THIS IS NOT AN AUTOMATIC PROCESS.
Students are required to complete and sign the ‘Application to Graduate Form by the required deadline of Friday 9th September 2011. Forms are also available from Student Administration in ND1/104. Please ensure that you submit your signed form to your School or the Student Administration office by the close of business on Friday 9th September 2011.

  • THE FINAL DATE TO APPLY TO GRADUATE FOR THE DECEMBER 2011 GRADUATION CEREMONY IS FRIDAY 9TH SEPTEMBER 2011.

All new Applications to Graduate received after the above date will be deemed as a “late application”, and there is little likelihood that they will be processed for the December 2011 ceremony.
If you wish to submit a late application to graduate, fill in the ‘Application to Graduate’ form as normal and complete the ‘Late Application’ section of the form. A $100 non-refundable administrative late fee applies for all late applications. The late application, together with the receipt for the $100 late fee, are to be delivered to Student Administration. The School that you are studying with will be asked for comment and the application will be forwarded to the Deputy Registrar who will make the final decision on the application.
If you wish to graduate at a later occasion than noted on your Application to Graduate Form you can amend your Graduation date by completing and signing another Application to Graduate. Please submit your new application to Student Administration.

Upon Receipt of your Application to Graduate
Upon receipt of your Application to Graduate, a Graduation Check is sent to your School. Your Dean will assess whether you have fulfilled the requirements of your course or will fulfil the requirements of your course pending successful completion of your current semester's units. Graduation Pack
If you are eligible to graduate a Graduation Pack for the December ceremony will be sent to students at the beginning of October. The pack will contain the following documents:

  • Covering Letter.
  • Graduation Compliance Letter which must be signed by the Graduand (even if you do not plan to attend the Graduation Ceremony) and returned to Student Administration by the requested deadline.
  • Circular providing details of the Graduation Mass and the Graduation Ceremonies.
  • Map showing location of Mercedes College Gym.
  • RSVP Form to be completed and returned to Student Administration indicating your attendance/absence at the Graduation Mass and your Graduation Ceremony, how your name is to be printed on your testamur, the number of guests attending, request for additional tickets to the ceremony and a testamur postage address (if required).
  • Regalia Craft Form to be completed and returned to Regalia Craft 116 Roe Street, Northbridge to order academic regalia for the Graduation Ceremony.
  • Photographer and Framers’ Flyer providing information on the photographic and framing services available at the Graduation Ceremony.
  • Alumni Flyer providing information on the University's Alumni Organisation for past graduates.

Notification of outcome of Application to Graduate
You will be notified of the outcome of your application to graduate by your school if your application is denied.
To find out if you have been approved to graduate, please check the Student Academic Information Page on Monday 5th December 2011. If you have been approved to graduate, you can check your final semester results on the Student Academic Information Page on Friday 9th December 2011.  Your graduation status will be displayed on your Student Academic Information Page .  Please click on this link and input your ID number and password to access your individual page.  Ensure you have chosen 11S2 as the Semester to display your results.

Graduating at a Different Campus
Students do not have to graduate from their home campus but may attend a Graduation Ceremony at another campus if that is more suitable. To apply to graduate at another campus, students need to complete an Application to Graduate Form . Please complete the Graduation section stating your preferred graduation campus and submit this form to the Student Administration office of your Home Campus. Your application must be received on or before the published application closing date for the chosen graduation campus. Student Administration at your Home Campus will forward the appropriate forms and details to the Graduation Officer of your chosen graduation campus. The Graduation Officer of your chosen graduation campus will contact you directly with information concerning your graduation ceremony.

Graduation Tickets
If you have been approved to graduate and have reserved guest tickets to the Graduation Ceremony via the RSVP form, these can be collected from the Student Administration Office ND1/104 during normal office hours, 8.30am to 4.30pm. Further details about ticket collection will be included in the Graduation Pack that student will receive at the beginning of October 2011.
Please note that we do not post tickets to students, as we cannot guarantee that the tickets will arrive prior to the Graduation Ceremony. Photo ID is required to collect your tickets or signed authorisation to allow your agent to collect your tickets.
Every graduand is offered 2 tickets for guests to attend their graduation ceremony. While the University appreciates the graduands would like to share this ceremony with their family and friends, due to venue and resource constraints it is usually not possible to provide extra tickets to graduands. Once the numbers of graduands attending has been confirmed there may be a small allocation of extra tickets but this is not guaranteed.   Graduands are invited to bring as many guests as they wish to the Graduation Mass.
Tickets are not required for the Graduation Mass.

Phillips and Father Photographer and Framers will be available on campus for the week before the Graduation Ceremonies. Frames can be pre-purchased for testamurs (please see the Phillips and Father Flyer for more details).

Graduation Regalia
Students who have applied to graduate receive a Regalia Craft Form in their Graduation Pack.  The form is to be completed with your request to either hire or purchase your regalia and returned to Regalia Craft 116 Roe Street Northbridge. Graduands should collect their regalia from Regalia Craft at least one week prior to the ceremony.
Regalia Craft will be in attendance at the Mercedes College Gym after the graduation ceremony for gowns to be returned immediately.

Testamur

  • You must have photo identification (e.g. University ID card, drivers licence, passport) to collect your testamur
  • Graduates can collect their testamur at the designated collection location at the conclusion of the Graduation Ceremony.
  • Graduates who are receiving two or more degrees/certificates may collect all testamurs from the designated collection location. Both awards will be listed in the Graduation Booklet.
  • If you are absent from your Graduation Ceremony, testamurs can be collected from Student Administration from the Monday after the Graduation Ceremonies. Testamurs will be posted to those graduands who have requested it on their RSVP form after the Graduation Ceremonies.
  • Testamurs which have not been collected within two weeks after the Graduation Ceremonies will be posted by Registered Post to the student at the address on the University database.

If there is an error on the Testamur which should have been noted by you, for example a misspelt name which was shown as such on the Graduation Pack correspondence sent to you, and you would like a new Testamur printed, the cost will be $100 plus postage and handling (cost of postage and handling for international postal address is $70). A request in writing and a statutory declaration is not necessary in this instance however you are required to return the incorrect testamur and transcript. All requests should be made in writing to the Graduation Officer, Maree Stedul, email: maree.stedul@nd.edu.au. The fee for the replacement testamur must be paid prior to processing your request.

If the error was made by the University, the testamur will be replaced free of charge once a request for this is made in writing.

Alumni
Please complete the Alumni form, that you will receive with your Graduation pack, so that you can be contacted after you have graduated. You will receive the University’s In Principio magazine, invitations to events and other alumni news.


Academic Transcripts
To obtain an official transcript of your academic record you would need to:

  • Pay the appropriate fee to the Fees Office. This can be done in person or over the phone (08 9433 0542) using your credit card.
  • Your academic transcript will normally be available 24 hours after the time of payment; however, please be aware depending on the number of requests received, it may take longer than 24hrs in some cases.
  • If you have requested a PDF version, your academic transcript will be emailed to your ND student email address. This will also normally take 24 hours from time of payment and again, sometimes may take longer.
  • If you wish to have your academic transcript mailed to your current address a postage fee will apply. Please check with the Fees Office regarding the cost. A slightly higher fee will apply if you prefer to use Registered Post.

The official transcript will show the total number of credit points you have successfully completed to date as well as your Grade Point Average.
To obtain an unofficial transcript of your academic record you may, at any time and for no cost:

  • Go to your Student Academic Information page,
  • Click on ‘Academic grades for each semester’,
  • Click on the button ‘Print PDF’.

This will display an unofficial transcript of all your units and their grades. Marks are displayed only from 2006 onwards.
This unofficial transcript will show your Grade Point Average to the present time.
This can be printed out for your records but is not and cannot be used as an official transcript.
